Terms of Service

These Terms explain user obligations, studio policies, cancellations, and limitations of liability for Sonic Lodge. By booking, using our website, or entering the studio, you agree to them.

1. Eligibility & accounts

You must be at least 18 years old to book studio time independently. If you are under 18, you may attend sessions only with a parent or legal guardian who accepts these Terms on your behalf.

  • You are responsible for accurate booking details (name, email, phone, session type).
  • You must safeguard any access links, entry instructions, or private session files we share with you.
  • We may refuse service or cancel bookings if information provided is materially inaccurate or appears fraudulent.

2. Booking & session rules

A “Session” includes booked studio time, engineer time (if selected), and optional add-ons. Start and end times are strict to protect all clients’ schedules.

  • Please arrive 10 minutes early for check-in. Late arrival does not extend your Session.
  • Only pre-approved guests may enter controlled areas. Capacity limits may apply for safety.
  • Food, open drinks, and smoking/vaping are restricted to designated areas. Any damage or extra cleaning may be billed.
  • Bring your session assets prepared (stems, session files, tempo maps). We can help convert formats, but additional prep time may reduce recording time.

2.1 Studio equipment & handling

Treat all equipment with care. Do not rewire racks, modify power, or adjust calibration settings without staff approval. If you are unsure, ask—our team will assist.

3. Cancellations & rescheduling

We understand schedules change. The cancellation rules below exist to keep our calendar fair and predictable.

  • More than 48 hours before the Session: you may reschedule without penalty, subject to availability.
  • Within 48 hours of the Session: deposits are typically non-refundable; rescheduling may be offered at our discretion.
  • No-show or same-day cancellation: the Session is charged in full (or deposit is retained and remaining balance may be due).

3.1 Weather, travel, and delays

If delays occur due to travel or local conditions, notify us as soon as possible. We’ll try to accommodate, but Session end times remain fixed.

4. Payments, deposits & refunds

Pricing may vary by room, engineer selection, and add-ons. A deposit may be required to confirm your booking. Taxes or local fees may apply where required.

  • Deposits reserve time and staffing; they are generally non-refundable except where required by law.
  • Chargebacks or payment reversals without good-faith resolution attempts may result in account restrictions and collections.
  • If we cancel due to studio-side issues, you’ll receive a full refund of prepaid amounts or a reschedule option.

5. Acceptable use

You agree not to use our facilities, staff time, or website for unlawful, harmful, or disruptive behavior.

  • No harassment, threats, discrimination, or unsafe conduct.
  • No intentional interference with network, recording systems, security, or building operations.
  • No recording of staff or other clients without consent. Respect privacy in shared areas.
  • No illegal content creation or storage on studio systems.

6. Content, rights & credits

Unless otherwise agreed in writing, you retain ownership of your music and materials you bring into the Session. We claim no ownership in your content.

  • If we provide beats, templates, presets, or session files, licensing terms may apply and will be communicated at the time of delivery.
  • Engineer notes and internal session documentation remain our operational materials, not deliverables unless specified.
  • If you publicly credit the studio, preferred format is “Recorded at Sonic Lodge.” Credits are appreciated but not required.

7. Liability & force majeure

Studio work involves technical risks. While we take professional precautions, you accept that outcomes may vary based on source material, performance conditions, and technical constraints.

  • We are not liable for indirect or consequential damages (lost profits, missed releases, reputational harm) to the maximum extent permitted by law.
  • You are responsible for backing up your files. We recommend bringing at least two copies of your project.
  • We are not responsible for interruptions caused by power failures, internet outages, building access restrictions, or other events beyond reasonable control.
  • If force majeure prevents the Session, we will offer rescheduling or refund prepaid amounts for the impacted time.

8. Privacy & communications

We may contact you about bookings, changes, invoices, and studio updates using the email or phone number you provide. Marketing emails (if any) will include an opt-out method.

  • Do not share private access details we send you.
  • Calls may be returned during business hours. If you request a callback, you consent to being contacted at the number provided.

9. Updates & governing terms

We may update these Terms from time to time. Changes will be effective when posted on this page. Your continued use after changes indicates acceptance of the updated Terms.

  • If any clause is found unenforceable, the remaining clauses remain in effect.
  • These Terms are intended to be interpreted fairly and in good faith.
